Nile Swimmers is looking to recruit a dynamic and motivated project administrator in Khartoum, Sudan.  As an ambitious and growing volunteer organisation, we require a committed and focused individual who can work effectively without direct supervision. An immediate start is preferred.

Job Description:  Project Administrator

Overview The vision of Nile Swimmers is to stop drowning.

The mission of Nile Swimmers is to make Africa safe around water.

As a volunteer led organisation, Nile Swimmers now requires additional full-time staff to manage and administrate the various projects that are being run.  Currently we have projects with:

  • The Ministry of Education to train teachers in Khartoum to be able to deliver our Aquatic Survival Programme to all school age children in the state
  • The Ministry of Social Welfare to deliver targeted programmes for vulnerable children in high risk communities, such as those living in the Kosti camps or in flood prone areas
  • The Ministry of the Interior to train the Civil Defence in safety and rescue techniques
  • The Sudanese Swimming Federation and the Ministry of Youth and Sport to improve safety in swimming pools, including the training of lifeguards
Role Title Project Administrator
Location of position Youth Forum, Khartoum 3, Sudan
Responsible to Senior Management Team
Duration Until 31st December 2017, with the possibility of extension
Summary of role This role involves:

  • Administering project budgets and finances
  • Maintaining project documentation
  • Providing administrative support for projects including record keeping, resource coordination and scheduling
  • Office management

This position will require:

  • Flexible attitude to work
  • Excellent organisational skills
  • High level of computer literacy
Description of tasks
  • Work closely with the Management Team to ensure that project budgets and organisations finances are kept up-to-date
  • Work closely with the existing project coordinator to ensure that project documentation is kept up-to-date
  • Support the existing project coordinator with administrative tasks including record keeping, resource coordination and scheduling to ensure that projects run as planned
  • Ensure smooth day-to-day running of the office
  • Administer day-to-day finances , payment of bills, invoices and staff and volunteer expense claims
  • Prepare monthly financial reports
  • Support the project coordinator in organising logistics for one-off promotional and awareness-raising events
  • Assist the project coordinator with other Nile Swimmers’ projects as necessary
Time commitment Full time – 5 days per week (occasional weekends)
Skills and qualifications Essential

Excellent written and verbal Arabic

  • Excellent written and verbal English
  • Ability to work without close supervision
  • Ability to use Microsoft Office software
  • Ability to work on own initiative and as part of a team
  • Commitment to work in accordance with Nile Swimmers’ policies and procedures
  • Professional attitude

Desirable

  • Experience of working with budgets and basic accounts
  • Experience of office management
  • Experience of working with HAC
  • Experience of managing volunteers
Training and support You will be given induction training into the various aspects of the work and progress on the programmes to date.  You will receive ongoing support from the Management Team.
Salary Dependent on experience
Expenses Where authorised, reasonable expenses will be reimbursed.
